Samaggi Abstract Competition 2022: Submission Guidelines

Guidelines for Oral Presenters
General:
- Five finalists from each academic field are chosen to present in the competition’s Oral Round, where they will have the opportunity to present their abstract to a judging panel of experts on competition day.
- Each oral presentation will take place in one of six rooms, each representing a different academic field. The finalists will have a chance to present their abstract as well as their research details and findings.
- Each finalist will be given a 20-minute slot, this includes 10 minutes for a Panopto pre-recorded presentation video being played to the audience by the session chair (further guidelines can be found in a later section) and 10 minutes for live Q&A with the panel of judges.
- The presentation should be delivered entirely in English, but the Q&A session can be conducted in either English or Thai.
- The judges will assess you based on the following selection criteria attached here.
- You must be present during the registration process and for the duration of your room’s oral presentation session. However, you are encouraged to attend the Opening, Closing, and Awarding Ceremonies, as well as the Networking and other Presentation Sessions. Please see the schedule at the end of this guideline for more information (page 4).
- Please respond as soon as possible to our invitation via this link (the same link attached in the email). Your slot will be removed and given to a runner-up if we do not receive your RSVP by February 9th, 2022.
Presentation session:
- Your presentation must be submitted here in video format no later than 9 AM. GMT, 18th February 2022; please see the “Guidelines for Video Submission” for further details. Failure to do so will result in mark deduction and the participant will be expected to make a live presentation during the competition.
- A 10% overall mark deduction will be applied to presentations that last longer than 10 minutes. Samaggi Abstract Team reserves the right to cut off portions of the video beyond the 10-minute mark.
- The use of visual aids (i.e., PowerPoint Slides, pictures, soundless video, etc.) is allowed to be used in the presentation video. It is not compulsory to show the presenter’s face, but we would recommend so.
- Videos that are not produced with this procedure will not be accepted, in which case, the participant will be expected to make a live presentation during the competition.
Q&A session:
- Do prepare for any questions that may come from the judges and audience.
- During the Q&A section, participants may use the same visual aids as during the presentation video to help with answering questions.
- No time extensions will be granted in order to keep the programme on schedule. The session chair will give a signal at the 3 minute mark before the end of your slot.
Guidelines for E-Poster Presenters
General:
- In total, there will be 18 e-poster presenters. The awards (Best Pitching and Best Poster Award) will go to the top popular votes made by the audience and honourable judges.
- You are required to be present during the E-poster session (details below). However, we would encourage you to join the Opening ceremony, Closing and Award ceremony, Networking session, and other presentation sessions (including your pitching session). Please refer to the schedule at the end of this guideline.
- Please respond as soon as possible to our invitation via this link (the same link attached in the email). Your slot will be removed and given to a runner-up if we do not receive your RSVP by February 9th, 2022.
Pitching session:
- The 1-minute pitching session allows presenters to introduce their work to a panel of judges and other audiences for exactly one minute. The aim is to attract people to inquire further about your research at the online breakout rooms that will be provided.
- Your presentation must be submitted here in video format no later than 9 AM. GMT, 18th February 2022; please see the “Guidelines for Video Submission” (page 3) for further details.
- The use of visual aids (i.e., PowerPoint Slides, pictures, soundless video, etc.) is allowed to be used in the presentation video. It is not compulsory to show the presenter’s face, but we would recommend so.
- The pitching videos will be run one after another. Your name and title will be stated at the beginning of your video.
- Videos that are not produced with this procedure will not be accepted, and we will skip your queue during the session.
E-poster session:
- The e-poster presentation will be a great opportunity for you to present your interests and findings to the audience, as well as to defend your work.
- You will be given an individual 40-min breakout room where the audience can choose to enter. You are required to be present during the entire session.
- The slide to be used for one-minute pitching must be submitted in .pdf, .jpeg, .ppt, or .pptx format only. There are no restrictions on the size and designs, but it must be fitted in one page only. It should also be a landscape image for the best screen fitting.
Guidelines for Video Submission for All Presenters
- Presentations are to be recorded with Panopto. The following are the Panopto instructions (a video tutorial is also available here):
- Create a free account.
- Choose “Record”.
- Choose your presentation when sharing your screen and keep your camera on while presenting.
- Please ensure that you have sufficient lighting so that you can be clearly seen and that your audio is clear. You may wish to use headphones to improve your audio quality.
- When finished, the video will be saved to a folder in your account.
- You may check the video for any defects – re-record if necessary.
- Click the download button at the top and the video will be downloaded in ‘.mp4’ format.
- Rename your video file to include the field code*, title of your submitted abstract, followed by your full name.
- For illustrative purposes, a proposal titled ‘Properties of expanding universe’ written by ‘Stephen Hawking’ submitted to track ‘S1: Mathematics and Physical Sciences’ should have a submission title of ‘S1 – Properties of expanding universe – Stephen Hawking.mp4’.
- If you cannot rename your video as mentioned due to overlength, only put your field and your full name (omit your abstract title).
- Videos must be in ‘.mp4’ format to be considered.
- Videos created outside of this procedure will not be accepted.
- Please submit your video to the correct link (note that there are two separate links for oral and e-poster presentation video) no later than 9 AM. GMT, 18th February 2022.
